WAIKATO CHAMBER OF COMMERCE TERMS AND CONDITIONS

Acceptance of Terms
These terms and conditions govern all supply of goods and services by Waikato Chamber of Commerce Inc. (“Waikato Chamber”, “we”, “us”) to you, the purchaser of services from us, including your use of the website at www.waikatochamber.co.nz (“the Website”). 

They are effective from 1 July 2024 and replace all earlier Waikato Chamber terms of trade and conditions. These terms operate in conjunction with the Waikato Chamber of Commerce Inc. 2025 Constitution, which governs the rights, responsibilities, and obligations of members.  A copy of the Constitution can be viewed here.

We reserve the right to change these terms at any time by posting the revised terms on our Website. 

Membership
Membership of the Waikato Chamber of Commerce Inc. is governed by the Waikato Chamber of Commerce Constitution 2025 and the Incorporated Societies Act 2022. 

Membership is for a period of 12 months from the date of joining and will automatically renew annually unless resigned in writing. 

Members may resign their membership by providing written notice to the Chamber office. Resignation does not entitle the member to a refund of any fees paid. 

Membership is not transferable. 

Membership Fees & Payment Terms

Membership fees are payable annually in advance unless otherwise agreed. 

An invoice will be issued upon joining or renewal. Payment is due within the terms stated on the invoice. 

Methods of payment will be advised at the time of invoicing. 

The Chamber reserves the right to suspend or cancel membership for non-payment of fees. 

Cancellations & Refunds
We do not have to provide a refund if you have changed your mind about a particular booking or purchase. 

Any cancellation for a paid event must be made in writing to the Waikato Chamber of Commerce no less than seven working days prior to this event in order to receive a full refund/credit. No refund or credit will be given for cancellations made after this or for non-attendance at this event. Guest name can be transferred upon request. 

Membership fees are non-refundable, including in the event of resignation or cancellation. 

Event Waitlist Policy
Due to high demand and limited availability at Waikato Chamber of Commerce events, a waitlist system is in place to ensure fair and efficient registration management. 

Event spaces are allocated on a first-come, first-served basis. Once an event has reached capacity, individuals may join the waitlist via the event listing on our website. 

Joining the waitlist does not guarantee attendance. Positions are assigned in order of registration. 

If a spot becomes available, the next person on the waitlist will be notified and must confirm their attendance within the specified timeframe. Failure to respond within the outlined timeframe will result in the spot being offered to the next person. 

Waitlist places are non-transferable, and individuals unable to attend must notify the organisers. 

The Chamber monitors the waitlist regularly and strives to maintain fairness and transparency throughout the process. 

By joining the waitlist, individuals agree to comply with this policy.

Privacy & Data Use

The Waikato Chamber of Commerce Inc. follows the Privacy Act 2020. 
What We Collect 
We collect personal and business information such as your name, contact details, interactions with the Chamber, and billing or purchase information. This helps us manage memberships, communicate with you, provide benefits, and meet legal requirements.

To maintain records as an Incorporated Society 
Business Directory & Data Sharing 
Your business contact details will appear in our public business directory for members and the public to connect with you. You can choose to hide some details by contacting info@waikatochamber.co.nz. We may share your contact details with our Alliance Partners (National Sponsors) so you can access membership offers. Your information will be kept secure and not shared with anyone else. 
Communications 
You will receive updates about events, benefits, and news. You can opt out at any time via info@waikatochamber.co.nz or in the Membership portal. Membership-related messages will still be sent. 
Access & Correction 
You can request access to or correct your personal information at any time by contacting info@waikatochamber.co.nz

Website Use
All content on the Waikato Chamber of Commerce website is owned by or licensed to the Chamber. 

Content may not be copied, reproduced, or distributed without permission. 

The Chamber is not responsible for any loss, damage, or disruption arising from the use of the website or linked websites. 

Liability
To the maximum extent permitted by law, the Waikato Chamber of Commerce Inc. excludes all liability for any direct, indirect, or consequential loss or damage arising from membership, event participation, or use of its website and services. 

Changes
The Waikato Chamber of Commerce Inc. reserves the right to amend these Terms & Conditions, its Privacy Statement, and other policies at any time. Updated versions will be published on the Chamber website. 

Applicable Law
These Terms & Conditions are governed by the laws of New Zealand. 

Any disputes shall be subject to the exclusive jurisdiction of the New Zealand courts.
